Jessie: I'd like to offer you and any other individuals a couple of
suggested readings on the "Electronice Vital Records" issue. The first
one is the ANSI/ARMA Standard of Mar 2003, entitled "Vital Records
Program" which includes information about E-Records and the effect on
VITAL inforamtion for any organization. Secondly, another publication
written for ARMA by David O Stephens and Rod Wallace, both CRM's who
have been in the Records business for many a year, entitled "Electronic
Records Retention" which defines the role of E-Records as it relates to
an emergency or disaster sitiuation, and how E-Records has a role of
significant importance to the Vital Records of any organization...

As for my interpretation - I see a Vital Record as that information,
that has been identified by the executives of the organization, as not
only necessary, but required, within specified timeframes, to have
specifically identifed records available to enable the organization to
get back in business and provide customer and citizen service within the
times determined by management. In short, regardless of media,
identification of the Vital Records of the organization, requires
constant care and feeding...

I would be interested in your analysis...Chuck Schiell, City Records
Administrator - City of Aurora, CO.

Hi all, and with apologies for cross-posting,

1. Is there such a thing as a vital electronic record? Not an
electronic
system capable of producing electronic records, such as a CRM, email,
or
accounting application - but an individual electronic record such that
we
would classify it as a vital record and take appropriate precautions
with
it?

2. What would those precautions be? Backup to tape is not the answer
because
tape backups do not generally do so at the individual record/message
level.

I have my own thoughts I will share, but I want the practitioners'
take
first.

Cheers,

Jesse Wilkins
