We are going to be doing the opposite. We have SAP, but not an ERMS or
DMS and we are just at the business case development stage for this, so
it would be great if after people could tell me what solutions they
found and what worked/not worked.

Ann Glenn and I have been comparing notes about the SAP implementations
at our respective organizations. We've decided to host a conference
call for up to 10 other Records Managers who are either currently
involved with an SAP implementation or have participated in their
organization's SAP implementation. We realize that each implementation
will vary in many respects. For example, Ann is focused on the
configuration of the RMS and DMS modules; and I am focused on capturing
the "records" from the Financial and HR modules and linking them to our
Records Retention Schedule/Policy in a third party content management
system.. Also, Ann is working in a government environment and I am
working in a corporate environment.
If you are or have been involved in an SAP project and would like to
share your experiences, please let us know by a reply email and tell
us:
1) where you are in the process
2) what SAP modules are/were involved
3) what is/was your role (planning, configuration, testing, archiving
etc.)

The following questions represent our interests and issues for
discussion:
1. What SAP modules is your company or agency implementing?
2. Are you centralizing electronic record files on a content server(s)
and maintaining record metadata on the R/3 server?
3. Are you centralizing record metadata on the R/3 but maintaining
electronic record files on the record owner's or generating
department's server?
4. Are you using SAP for RM for hard copy records as well as electronic
records?
5. Are you involved in:
- SAP configuration (setting up the module for your company's or
agency's particular needs - using the module "out of the box").
- SAP development (programming in the module to tailor the module to
your company's or agency's particular needs - using BAPIs, user's
exits, etc.)
- Identifying requirements for the RM program.
- Generating specification documents for SAP development
- Developing the interface for SAP to in-house or third party
software/programs
6. For the Records Management (RM) Program, is your company or agency
using SAP Records Management System (RMS), SAP DMS, a third party
software/program, software/program developed in-house or a combination
of these? (Please provide product names and spell out acronyms.)
7. If implementing the SAP RMS Module, is it Industry Solution Public
Sector (ISPS) RMS or Standard RMS? (ISPS RMS has the retention
functions in it. Standard RMS does not have the retention functions.)
8. Are you using a third party RMS for both the physical and
electronic records?
9) What electronic records are you linking to your retention
schedule/policy? (i.e. archive objects, metadata, business warehouse,
etc)
10) At what point is the retention schedule/policy linked to the
records? (i.e. creation in the database, capture/declare record in
ECM)
11) Did you add or modify records retention categories to reflect the
SAP generated records?
