Our procedures are farily simple. We accept file requests through a
voice mail system rather then E-mail. The voice mail system forward a
message to a pager. Our department is staffed 7:00 am to 7:00 pm Monday
- Friday. After hours & on the weekends the voicemail will page a staff
member (usually calling their cell phone actually)

Who ever is on call will respond to the page, if the file request is
urgent we will page our archive and retrive the file from the warehouse.
Our standard file delivery time is about 2 hours from request to
delivery during the day. Obviously on the weekend it can take longer
getting people to show up at the warehouse etc. but we can usually
respond within 4 hours any time day or night.

Subject: Written Procedures for Ordering Material from Off-Site during
Off-Hours

Colleagues:
My name is Adam Herbst and I am the co-records manager of the New York
office of the law firm Dewey Ballantine, LLC.

Do any of you have procedures that you can share that detail ordering
material from off-site storage during off-hours? For instance, an
attorney
requests four boxes on a Saturday, etc.
Please reply directly to me.
Thank you in advance.
Adam Herbst, CRM
