Sharon - we don't and can't. But we make it official Policy that ALL staff
must keep records. We provide policy, procedures, standards, guidelines,
training, examples, encouragement and threats. We cajole and bully,
flatter and praise, extort, blackmail, plead, beg and grovel.
BUT BUT BUT we don't see all incoming or outgoing paper either, nor faxes.
We don't listen to all conversations. A record is a record. With all this
place, if an individual staff member doesn't do something appropriate to
keep an email, or a hardcopy letter, or a fax, or they fail to make a file
note after a converstaion of recordkeeping significance, then the staff
member is at fault.
Train the people.
