Harvey,

I just finished an assignment in Miami for a South Florida medical
devices company who had a process in place where legal hold notices
(they called them Document Preservation Notices, or DPNs) were
disseminated organization-wide from Records Management.

Broadcast e-mails went to everyone in the organization that detailed the
hold notice, identified record series affected and information or data
being looked at, date ranges, etc., along with instructions.  The
broadcast always included RM and Office of Counsel contacts to respond
to questions.

Notification of legal holds came to RM from the O/C, plus these
notifications were also added to the RM website and broadcasted in the
"scrolling announcements" section of their intranet.  It was a process
that seemed to work well for them.
