Position Title: Corporate Records Manager

 

Reports To:                Chief Information Officer

 

Summary:                   Under the direction of the Chief Information
Officer, is responsible for all records and information the corporation
generates in the ordinary course of business. Develops and directs
operation of the corporate records management program and the corporate
record center and staff.  Manages and directs active and inactive record
keeping systems.  Develops, evaluates and maintains records scheduling
and retention.   Provides expertise and input on other functional areas
that affect the records and information of the company.  Monitors
records management legislation and best practices. Develops, improves
and implements policies and procedures to ensure that information and
records are effectively and efficiently created and maintained, and that
information users receive the maximum level of service.  

 

Principal Contacts:     Frequent contact with department heads and
information users throughout organization.  Works closely with user base
to evaluate research and recommend information and records management
solutions.  External contacts include vendors, suppliers, and peers.

  

Responsibilities Include:

 

*       Prepares long-range goals and resource projections for the
Records Department and Corporate Records Management Program in
accordance with corporate plans and mission statements determined by
senior management.

 

Directs the development and implementation of records and information
management

*       policies and procedures and communicates long-range department
objectives for consideration in corporate policy and procedure
development.

 

*       Ensures compliance with legislation and best practices that
affect the records and information of the organization.

 

*       Represents Records Management Program needs and interests in the
selection of hardware and software for the corporate business processes
generating corporate records and information.

 

*       Provides input on the design of the organizations vital records
protection and disaster prevention and recovery efforts.

 

*       Prepares and monitors Records Department budget and has
financial planning responsibility for records management program and
facilities.

 

*       Responsible for Record Center facilities design, planning and
maintenance.

 

*       Evaluates need for and develops staff and employee education and
training resources on records management policy and procedures  

 

*       Manages records department staff and equipment resources to
provide efficient access to and usage of records and information
throughout organization.

 

*       Creates, improves and maintains Records Department Web pages.

 

*       Develops and manages organization wide records scheduling and
retention efforts.  

 

*       Utilizes expertise to evaluate and make recommendations on
corporate manual and/or automated record keeping systems.

 

*       Evaluates and recommends solutions to Records Department
hardware and software needs and issues. 

 

*       Evaluates and approves purchase of equipment, within limits of
authority and participates in negotiation of vendor contracts and
agreements.

 

Qualifications:

 

1.      Excellent oral and written communication skills.
2.      Strong organization and project management skills.
3.      Ability to work effectively with all levels of staff with tact
and diplomacy.
4.      Effective management skills, including proven ability to lead
and motivate people.
5.      Strong ability to perceive and analyze problems, plan, develop
and implement alternatives and innovative solutions.
6.      Thorough knowledge of the field of records and information
management.

 

Education/Experience:           Minimum of a Bachelor's degree in a
records and information management related field, with six or more years
experience in a records management capacity.  Course work to have
included computer science, business law, human relations, records and
information management and accounting.  Familiarity with relational
database theory.  Should have an understanding of information systems
and hardware and software applications.  Prefer Masters Degree with CRM.
