Kara,

I've worked with a lot of organizations using a wide variety of record management applications to manage their email. All of these organizations paid a lot of money to purchase their solutions, but I have seen very few actually implement them in a working production environment.

Yes, many vendors offer solutions that provide key word classification and some also provide logic that analizes the content of an email and attempts to automatically classify it based on previously classified records. The key word solutions are very time consuming and difficult to maintain. I haven't seen it used effectively anywhere for very long.

The automatic classification based on content has not proven itself to come anywhere close to acceptable results. The technology there is promising, but, I believe, still a long way off. I wouldn't waste your money on it.

I wrote an article sometime last year called 'Yes, You Can Manage Your Email Records', describing what I have seen work in the 'real world' that you might find useful. It was published in 'The Managed Record'. You can get to it through my website here: http://therecordsguy.com/RIM_News.htm.

Hope it helps,
Don
