The North Dakota Department of Transportation (NDDOT) is recruiting for
two classified records management related positions:  
 
INFORMATION MANAGEMENT OFFICER    
 
SUMMARY OF WORK
 

1.      Electronic document management administration: work with
business analyst and customers on the installation and implementation of
a records management module for document management system; ongoing
evaluation and analysis of responsible for all scanning operations
department-wide; audit department use of  document management system,
duplication of paper, electronic records, electronic forms, and proper
indexing of documents; assist in integrating all electronic document
management system technologies, including workflow; responsible for
preparation of electronic documents meeting retention. Approximately 55
percent of the time is spent on this duty. 

2.     Manage paper, electronic, and automated forms:  assist with
researching electronic form tools and techniques for forms management;
identify and assist with analyzing internal processes where electronic
forms would reduce paper and data entry; analyze, design, and create
department forms from multiple design packages for use in Electronic
Document Management System (EDMS), recommend any needed changes;
maintain department forms database; work with developers on forms
automation and workflow. Approximately 25 percent of the time is spent
on this duty.  

3.      EDMS and records management training:  research and develop
training materials for formal training sessions on EDMS records
management module, scanning, workflow, basic records management, etc.;
conduct training as needed.  Approximately 10 percent of the time is
spent on this duty. 

4.      Records management:  inventory department information/records,
determine what document series needs to be addressed on records
retention schedule; assist  records coordinators in writing records
series descriptions, identifying media of records, analyzing current
recordkeeping methods to ascertain division needs and recommending
improvements; appraise records to determine administrative retention
value; categorize record series; determine best method for filing
records for specified records series and assist with implementing chosen
file system; review records management procedures, recommend changes and
ensure procedures as being followed by department staff. Approximately 5
percent of the time is spent on this duty. 

 

Marginal Duty 

5.      Records center operations and maintenance: maintain records
center database; monitor records check out system; assist users and
public to research and retrieve records. Approximately 5 percent of the
time is spent on this duty. 

 
PROGRAMMER ANALYST II

SUMMARY OF WORK

1. Analyze business processes and develop effective and efficient
technology solutions to these problems. Map and assess business
processes, identify problems and possible solutions to the problems and
recommend options. Write requirements to obtain a cost estimate from
Information Technology Department and specifications to obtain new
hardware/software. Assist with implementation and with researching and
collecting all available information on the process being studied.
Research technologies to identify solutions to provide long-term
stability and work efficiencies in data capture, data reporting,
document retrieval, forms processing, etc. Approximately 50 percent of
the time is spent on this duty.

2. Provide client server and integrated mainframe systems support and
maintenance for NDDOT users: provide initial support for EDMS and
back-up support for other assigned systems and applications. Correct
program errors and assist with system maintenance and enhancements
requested by users. Answer questions regarding the operation of the
assigned systems and respond to assigned trouble tickets (HEAT and Work
Management System). With assistance ensure that division records are
compatible and accurate with other system interfaces, develop and
maintain computer programs and related documentation and create reports
for EDMS. Approximately 25 percent of the time is spent on this duty.

3. Research electronic form tools and techniques, identify and analyze
internal processes where electronic forms would reduce the movement of
paper and data entry workload. Ensure the electronic forms solutions
interface with EDMS and adhere to records management storage and
retention guidelines. Approximately 15 percent of the time is spent on
this duty.

4. Research and develop material to provide training on IT topics,
provide recommendations for training, and conduct training sessions.
Approximately 10 percent of the time is spent on this duty.
