I echo Gary's comment (which seems to happening quite a bit lately!).
Seriously consider using technology in this situation. It can be as
simple as an Access database - no need to go buy the latest and greatest
ECM product if this is really your immediate, and only, concern. If you
use a library collection database (such as InMagic or Sydney Plus) you
can use that for this purpose as well.
