A few years ago when a previous employer moved our operation from
Eugene, OR to Corvallis - about 60 miles away, our facilities folks
hired a professional move coordinator.  This was the move of the records
management/archives operation only due to management "approval" to use
our space for a temporary grant program headquarters - go figure.

The coordinator and I planned for about 60 days prior to the move.  She
utilized a moving company that had previously done work for us, we
planned the space (fortunately for us is was a step up in sq ft,
comfort, and amenities), purchased new racking with plenty of room for
growth (10 ft tall v. previous 5 ft) and room to consolidate 3
geographically disparate storage area to one.  She planned box by box,
desk by desk, computer by computer, where everything was going to go
(with an extremely high degree of accuracy).  We had to go through and
verify locations and make changes in the database after the dust
cleared, but that was planned.  Boxes were stored in 2 dry, locked semi
trailers for a week between move-out and move-in - a reasonable time of
inaccessibility we could not avoid under the circumstances.  The
trailers were not air conditioned.  Fortunately, it was a short time
frame.

Keep an eye on the moving guys.  No matter how professional and
courteous, things happen.  Boxes get crushed due to overstacking - make
sure they know what is acceptable to you - 4 boxes high?  5 boxes??  We
also had a couple of boxes fall off a cart-like dolly.  It's no fun for
anyone to reconstruct file order in a box.  Guys get tired - especially
in hot conditions.  Provide them with some Gatorade and breakfast and
snack bars or what you can do on top of what they bring or what their
employer provides.  They will perform better (sugar 'em up!) and usually
go the extra mile if they know they are being appreciated.  Think of it
as a form of cheap insurance.

Finally - show appreciation all the way around.  An extra thank you or a
cup of coffee can go a long way!
