Tammy,

We're just investigating providing this service to our offices outside
the US.  One of the considerations (challenges) is the question of how
to allocate the costs.  I've seen some of the discussions in the
listserve about that, and agree with the philosophy that record owners
should receive the actual costs of that ownership.  

However, the business realities for large corporations sometimes
preclude that approach.  

Today our company's off-site storage contract is established for the
entire US, and the invoices for each storage facility are sent to a
single focal point for review and processing.  Our department manages
the contract (along with the purchasing agent) and is working very hard
to standardize services across the country.

Our department's labor is allocated along with other overhead costs, and
redistributed to benefitting organizations as a burden rate (based on
headcount).  The costs for off-site storage are treated similarly within
the benefitting business units (typically a business unit has 10,000 to
50,000 employees), i.e., the costs for storing a business unit's records
are charged to the business unit as a whole, and they allocated it as
part of their overhead burden rate to all their lower level
organizations.

Whether that approach is possible for our non-US locations is something
that the Finance department is looking at right now.  Whether our
enterprise RIM organization provides off-site records storage support to
the international locations will depend on the answer to that question.

Hello.

I am looking for information from Global companies around the management
of Global Off-Site Storage Services. 

What is your model for managing off-site storage:  Is it centralized,
managed from the corporate office?  Is it decentralized, managed by the
local business unit within the region?

We would like to know issues, challenges, and lessons learned from
moving forward with either one of these models.
