Good Morning!

 

I am seeking the listserv's help in clarify something for me. We are in the process of procuring an e-mail archiving solution. I have a very good relationship with our IT folks and I have been involved in the process from day one. However I am in a dilemma. We also have an ERMS that we haven't really started using. I just came on board a few months ago and I am still in the process of building a file plan. Unfortunately the e-mail archiving solution that is being purchased does not talk to our ERMS. 

 

So, here is my question - What is the difference between storing an email in an e-mail archiving solution vis-à-vis in an ERMS? 

 

In an ideal world I would have liked our users to classify all emails and save them in our ERMS. But we do not live in an ideal world and the management would like to go for a solution that requires minimal change to the ways users work today. So, the organization is leaning towards using an email archiving solution that has minimal impact on the user's behavior. 

 

However my concern is what RM aspects am I comprising by putting the email in an e-mail archiving solution? The one thing that I am aware of is that the email will not be classified as per my file plan. There is scope for developing big retention buckets but I will not be able to apply retention at the records series level. Is there anything else that I am missing? Have others had to make such compromises and if yes is there anything I can do to minimize the negative impacts?
