Responsibilities:        Under limited guidance and specific
departmental objectives and daily operating priorities, supervises the
day-to-day operations of the Records Management Department; coordinates
workflow and ensures adequate departmental coverage; supervises staff;
provides orientation and training to office personnel and to new RM
staff; provides back-up support to senior management personnel; and
other related tasks and duties. 

SERVICE STANDARDS: The Records Management Department exists to provide
service. Every employee is expected to deal courteously, responsibly,
and competently with customers, including staff, lawyers, clients, firm
managers, and vendors. All Records Management employees are expected to
demonstrate behavior consistent with Morrison & Foerster's commitment to
high quality service. The quality of an employee's service is an
important consideration in assessing overall job performance. 



Reporting Relationship:  Information Resources Manager	
Essential Functions:     1. Assesses priorities and coordinates workflow
for Records Management staff, including: making/changing work
assignments; assigning and tracking responsibility for special projects;
arranging for adequate coverage of all areas when staff are absent;
assessing the need for overtime; training and assigning work to interns
and other temporary staff.

2. Ensures quality control through thorough proofing of Record Center's
work product.

3. Facilitates miscellaneous services to clients, including: new
employee orientations; attorney arrivals and departures; transfer of
files to clients, co-counsel and other outside related parties; inter-
and intra-office transfer of files; unofficial conflict checking. 

4. Supervises junior records management staff; may include recruiting,
training, drafting or writing annual performance reviews and salary
recommendations, monitoring attendance, proofing and approving weekly
electronic timelogs, providing performance feedback, counseling, and
recommending disciplinary action. 

5. Works closely with senior management to (1) develop and implement
departmental policies and procedures; (2) enhance user services and
relationships; (3) assess equipment, supply and space requirements; and
(4) facilitate other special RM projects; reports regularly to senior
management on departmental activities. 

6. Contributes to staffing plans, budget preparation and cost efficiency
measures; may approve invoices and reconcile vendor accounts. 

7. Coordinates and monitors departmental compliance with firm's risk
management processes and procedures, including ethical wall management,
protective orders, records retention/destruction, and general
confidentiality. 

8. Participates in firmwide meetings where peers are present.

9. Responsible for adhering to the firm's general safety practices and
to any unique safety practices for the Records Management Department.



Secondary Functions:     1. Performs routine file maintenance tasks as
necessary to ensure adequate departmental coverage. 

2. Participates in office-specific meetings and training for
supervisory/managerial staff; participates in firm and office wide RM
personnel teleconferences, videoconferences, remote access training
sessions, and in-person meetings as scheduled.

3. Promotes collaboration and accountability between office wide
supervisors and managers in the areas of secretarial services,
facilities, docket, and technology, whose goals and objectives impact
and sometimes intersect with those of the records management team. 

4. Keeps current on industry developments and trends by participating in
activities such as industry-specific listservs, membership in national
associations and local networking groups, reading professional
literature, and attending industry-specific local meetings and
educational conferences.

5. Other related tasks and duties as may be assigned by senior
management. 



Qualifications:  1. BA degree, 5+ years law firm records management and
5+ years supervisory experience required.
2. Strong computer and database skills; previous experience utilizing
ARMS preferred.
3. Ability to work independently with minimal direct supervision
required.
4. Excellent organizational and communication (both oral and written)
skills required.
5. Ability to work effectively with all levels of law firm personnel,
including partners and administrative managers. 
6. Ability to lift standard file boxes required.
