TOPIC:                  Records Management Applications of Adobe=s
Portable Document Format

One of the most popular document formats in the today=s modern office is
the portable document format (or PDF) created by Adobe. Many people
appreciate the navigability of this file format, its ability to capture
and freeze the look of a digital document created originally in another
format, and its portability. Others complain, however, that PDF is a
proprietary format with little value for archives, and relatively few
organizations have yet taken advantage of the power and usability of PDFs
to transform office operations. This presentation will give an overview of
PDF, focusing on issues such as the development of PDF/A (a version of PDF
for the long-term storage of archival records), enhanced security options
with PDFs, the use of PDF to generate and complete forms, to process and
approve records, and to distribute information. The portable document
format holds much promise for the archivist and records manager, but it
raises questions as well, and this session will examine both sides of the
story.

SPEAKER:         Geoffrey A. Huth

Geof Huth serves as Manager of the New York State Archives= Records
Advisory Services, overseeing a regionally-based program of archives and
records management advisory services to local governments and state
agencies in New York State. Previously, he managed Records Service
Development for the New York State Archives, where the major focus of his
work was electronic records management and where he oversaw retention
scheduling and the development of records management workshops,
publications and web-based resources. For most of the 1990s, he served as
the Archives= Regional Advisory Officer covering New York=s North Country.

*** You will see two large green towers on left hand side.  Go to first
traffic light (Glen Curtis Boulevard) and turn left.  Follow road around
to entrance into parking lot.  Park in the lot next to the towers.  There
is only one entrance to the two towers.  When you enter the building, go
up the escalator, then left to the West Tower.  Take the elevator to the
10th floor to the Rivkin Radler.
