JOB TITLE Senior Technical Information Specialist - Records Management
Specialist

 

Classification: Exempt

 

General Description

Works under general supervision to perform technical support work for
records management, inventory and collection control. Also supports data
quality and updates to legacy records. 

 

Primary Duties and Responsibilities

 

Records Management and Inventory Control

1.      Verifies the transfer of data from Livelink to NA&SD.

        *       Ensures that the NA&SD received the records transferred
by LL
        *       Checks the ll_autostart assignment list for stragglers
        *       Locates case files on the 'in process' cart, checks the
corresponding number on the list, verifies that all case file numbers
listed on the list have been located and transfers the case files to the
Document Supply area..

2.      Develops schematic of CASI holdings - microfiche, case file
collection, video and electronic; 

        *       Identifies all pocket collections held at CASI
        *       Updates schematic as collections are moved

3.      Ensures collection is in order by NASA/non-NASA and Year

        *       Moves and sorts collection as required
        *       Updates schematic as collections are moved

4.      Coordinates efforts to inventory CASI holdings - microfiche,
case file collection, video and electronic

        *       Identifies NASA STI not digitized for the target year
(generates a database search strategy)
        *       Coordinates, monitors and tracks the effort to locate
and scan straggler documents
        *       Generates a list of missing reports sorted by NASA
center
        *       Forwards the list to the appropriate NASA center contact
and requests they provide a copy of the report to CASI
        *       Modifies metadata when a report cannot be located,
either at CASI or other sources
        *       Captures format of CASI holdings electronically, i.e
hardcopy, microfiche, video, etc.
        *       Reports progress and status, as required
        *       Maintains record copy of verification process and
results by year

5.      Establishes and monitors processes to ensure control of CASI
holdings - microfiche, case file collection, video and electronic.

        *       Develops requirements for a computerized/automated
system to monitor check-in/check-out of the collection
        *       Implements and monitors check-in/check-out procedures,
including user feedback
        *       Implements QA/QC check of shelving, i.e. shelf list
reading

1.      after transfer of a pocket collection from one location to
another

2.      weekly to ensure proper shelving of newly received material

3.      monthly to monitor check-in/check-out procedures

6.      Tracks and reports on progress, weekly and monthly

 

Data Quality - Backfile Maintenance

1.      Daily perform a Quality Control check for

*         DAA Indicator and Receipt Type

*         Copyright and Special Distribution Authorization

*         Update and modify records, as needed

*         Provide feedback to Lead staff for training and awareness.

2.      Daily review 'error list' from Bulk Image Load

*         Modify records as required

*         Move PDFs to Backfile Ready

3.      Coordinates updates to legacy records to ensure a quality
database
4.      Tracks and reports on progress, weekly and monthly

 

SPECIAL REQUIREMENTS

*                    Physical capability to climb ladders, lift up to
40lbs and work in a dusty environment

 

KNOWLEDGE AND SKILL

*       A bachelor's degree in science, engineering, library science,
computer science or a related field and 2 years related experience.
Additional course work or other training in science, engineering,
library science, information management..
*       Knowledge of USMARC record format, scientific and technical
information analysis processes and techniques, excellent PC skills in a
Windows environment and excellent keyboarding skills are a must.
*       Ability to effectively search S&T databases and the Internet
*       Position requires excellent organizational, analytical skills
and ability to apply those skills to an intellectual activity in a
production-oriented environment.

 

SUPERVISION

Works under general supervision from the Supervisor, Acquisitions &
Records Management Development.

 

INTERPERSONAL SKILLS

Ability to work effectively, independently, and cooperatively. Ability
to accept changing

direction on a daily basis and to prioritize work assignments according
to fluctuating

workloads and requirements. Must be a team player
