????????   You have an electronic record, and you print it in order to
file it????????????  Obviously your organization has computers, probably
a network with servers; perhaps a mainframe or a number of them.  Think
creatively, and use the technology available to you.

If all you have is a paper based recordkeeping system, then what else
can
you do with an electronic record besides print it out and file it?

Not everyone lives in a perfect recordkeeping world.
