Considering the rule changes that go into effect at the Federal level 
tomorrow, December 1, 2006, even if you find someone else's hold procedure 
it will most likely need to be updated.

I attended a CLE on the new rules yesterday. I also purchased a DVD from 
Cohasset that is helpful in understanding to a point how the rule changes 
will effect al of our records programs specifically in the private sector.

Get with your legal counsel and your IT management. You have to work with 
these folks to do this right and they must understand you can not write your 
procedure in a vacuum. How we held paper records and how we maintain e-doc & 
email are very different. This has to be something that can actually be 
followed - if you recycle back-up tapes, how do you stop that process? how 
do you save all required email? how do you keep your affected employees 
productive & yet retain essential metadata?

I hope others will pitch in on this topic. It is very new. We really don't 
even know exactly how we will be affected. I know though that having to 
produce electronic documentation in native format will be an impact (how do 
you redact, Bates stamp, etc).
