Hi Lorinda,

  The CDIA+ preparatory handbook says,

Document Management Software (DMS) is a term used to define specific software that electronically files all types of electronic documents such as work processing documents, spreadsheets, and other desktop programs. Document management programs can manage "compound documents" (a document that contains text, image, spreadsheet, or event sound.) A DMS might exist on top of an imaging application--managing images as just another data/object type.

  DMS offers:
  1. Version control
  2. Checkin/Checkout (aka "library services")
  3. Security at library, folder, document levels
  4. Manages objects and images as well as indexes
  5. Creates audit trails through workflow

  Strengths?
  Facilitates retrieving editable documents
  Builds knowledge base
  Minimizes recreating information
  Encourages standard styles and formats

  Weaknesses?
Volume if indexing is not performed properly
Not strong at high volume image processing without 3rd party add on
Can be difficult to know what documents contain good or bad information. Reusing a poor document will perpetuate the problem
