Barbara:

Are the inactive records hard copy, electronic, or both?

It may also depend on what level you wish to track the records by, box,
file, or document. In a previous position we used Iron Mountain to store
inactive paper records. Some departments used internal databases that
linked cases to boxes in off-site storage, some kept paper lists, or word
files. The central files function, within Corporate Records Management was
moving towards using Iron Mountain Connect to track all case files in the
boxes we controlled. It is not hard to take the information you have
entered from their system and load it into you own tracking system as you
can download it, in a .csv (comma separated version) manner, sort it and put
into whatever form needed to upload to your system.

Hope this helps.

Subject: [RM] Tracking your inactive records.

I've been asked to post this question by someone not on the list.

Some companies use a electronic tracking system (RM software/ database/
etc) to tracking their inactive records. Others input all that data into
the tracking system provided by their offsite storage provider.

Which do you use and why?
