Ursula,

At York University, my office is developing a university-wide 
functions-based file plan and records schedule.  This covers both 
operational and administrative records.  The Advancement function 
generally falls within the "Communications and Public Relations" function, 
but Advancement and Alumni Services will use whatever functional file 
classes it needs for its records.  We provide the broad classification 
buckets with the retention rules attached, and the units themselves will 
be able to more finely define their file plan if they wish.

Organizational placement of RM within a University Advancement office






The University of Toronto's policy is that each university department is
responsible for managing its own operational records, while referring to 
the
University file plan for administrative records, such as finance, HR, etc.
Having said that, I am interested to know from other University 
Advancement
offices, what the organizational structure is for the placement of your
records management program within the Advancement Department.
