Greg, you are sounding like Alex Trebec ...

Accession .... is the exact word for which you are searching. It
means, in this context, a group of records received and processed into a
paper records storage facility; records center.

Inactive means the rate of reference; I think somebody had mentioned
that a different note.

Best regards, Steve

Thanks for the responses so far. Let me clarify my request.

I'm looking for a noun. A name for the group of 8 boxes of records
that:
1. are all in the same records series
2. closed in the same time period and hence have the same destruction
date
3. are being stored in the storage facility together as a group.

In my prior life in federal and state records centers, we would call
such a
group of boxes an "accession". It derived from the "accessioning
process"
that takes the records in for storage. The accession was the basic unit
that
the records center tracking systems were designed around for applying
retention and destruction rules. I'm trying to broaden my perspective
- and
vocabulary - and see how other parts of the RIM world would name such
a
group.

I would like to ask for the collective wisdom of the list to help me
find a
descriptive word for a records management concept.

What would you call a group of closed files in a records series that
are
ready to be - or are being - stored together for their prescribed
retention
period?

For instance, a records custodian sends you, the Records Manager, a
transmittal form for approval that says he/she has 8 boxes of closed
FY06
Inspection Records to ship to the commercial or company-owned records
storage facility for retention. What term do you use to refer to that
group
of 8 boxes?
