My understanding and view would be that you should capture and lock down the
virtual document as a record - as this is a snapshot situation - but allow
people to read/copy the component documents as there could be further use
for their content. 

While working on the implementation of an EDMS/RMS that included creating
virtual documents (collections/folders for audit purposes) this is how it
was approached.  

The old paper way was to create a binder filled with copies of the documents
a quarterly basis.

To be more précised in my question:

If you, as a records manager, are tasked by your organization to manage a
virtual or component document as a record, would you:
1.  Allow no additional editing of the base (parent)document
2.  Allow no additional editing of the component document
3.  Capture the locked down version of the base document and all components
Or
1.  Capture the content of the base document and management it as a record
2.  While allowing continued editing of component document.
