Todd asked:

"Do you have a process for authorizing destruction of records or do you just assume those shredding are following the policy/retention schedule?"

Let me clarify. The process/system I described for our 10 offices was for the day-to-day shredding of discarded paper, NOT for the disposition-by-destruction of client records when they've met their retention requirements. I thought your question referred to general shredding, not to disposition of records.

Our destruction-by-shredding of client records is performed in only 2 of our offices, and only by employees of the Records department who have been trained to identify what is eligible and what exceptions need to be flagged for further review/retention.
