PK offers some good advice.  

One resource that you might want to review and possibly show to your IT
folks is GRS24, produced by NARA
(http://www.archives.gov/records-mgmt/ardor/grs24.html).  I used it as a
starting point with my IT department with great success; it opened up their
eyes.  NARA has done a great job of identifying many records found in an IT
shop.
