Sending copies for the review is the process I recommend to all of my clients and is the process I have implemented in all of the RIM positions I have held. If the original is needed it generally (in my experience) can be produced for trial.

Subject: [RM] Employee Files
I would like to know if anyone has a set policy or procedure in place for
dealing with outside counsel's (our counsel) request for employee files.
In the past the Records Department has sent employee files to our outside
counsel for their review, however, we have recently undergone changes in
management and philosophy and we are not inclined to send the files but to
send a copy of the file so that we maintain the original copies. I would
appreciate any comments that the group might have on the subject.
