This e-mail guidance, in the form of a Quick Reference Card (Q's & A's), provides advice on e-mail issues that arise as part of day-to-day work activities. An interdepartmental working group developed this guidance. Various Treasury Board of Canada Secretariat policy centres and legal advisors as well as Government of Canada departments have also provided feedback. The Q's & A's are generic, a quick "rule of thumb". Institutions may need to modify answers for their own specific situations.

Do I need to keep my e-mails? 
Yes. If you send an e-mail that meets any of the following points, you are responsible for saving your original message, all attachments, and responses related to the e-mail. Examples include messages that:
*	provide evidence of what you and the institution have done, why it was done, who did it and what resulted. 
*	reflect the position or business of the institution 
*	Initiate, authorize or complete a business activity/ transaction 
*	document or record a decision or action 
*	control, support, or document program delivery.
If you receive an e-mail from an external source that contains information that does not exist elsewhere in your organization, you are responsible for saving that message.
