Since you asked ;~)

PSS Systems has a software product called Atlas LCC which manages legal holds and collections for litigation departments. It helps attorneys and paralegals scope out the people and systems that may have potential information, track those custodians over the course of the matter, issue notices with confirmations and periodic reminders, plan and delegate collection of data from employees and IT, etc. It helps companies more easily meet the "Zubulake checklist" for their preservation and internal discovery processes by automating all of the tracking and many of the steps. Atlas LCC works with Atlas ERM, a system for managing enterprise retention programs across disparate business units, data types, and repositories. (The idea: know what you need to retain for business and regulatory purposes, know what you need to preserve for litigation, know what you can dispose ... and do so.)

Atlas was released several years ago and is used in many financial services, pharmaceutical, energy, telecom, consumer and other companies. I believe that Citigroup, Merrill Lynch, Halliburton, Sprint, First Data, and others have discussed their use of it in various public forums and conferences. You'll find that it is pretty unique in its capabilities and adoption, IMHO.

If you are looking for a very sharp example of why you'd want to have your ducks in a row on the holds process and how it will be tested, look at the subpoena AMD issued Intel and its outside counsel regarding its hold process. It gives an example of where an adversary will focus on your process. http://www.bayareanewsgroup.com/multimedia/mn/biz/amd_firstsubpoena.pdf

If you'd like information about Atlas, please let me know.

This is not exactly records-related, but we seem to have quite a
contingent from law firms our there, I was hoping you could assist.

Our Corporate Legal department currently uses a combination of Excel
spreadsheets, Word docs and JD Edwards to collect all the data to manage
ongoing litigation. Aren't there off-the-shelf software programs that
manage that? Not sure it matters what types of cases, but we defend
mostly employment, contract and construction defect claims, and we
operate in 7 states. There's typically about 150 - 180 cases at any
given time.

The paralegal in our rather lean legal department has suggested they do
something, but is meeting some resistance (it may be internal politics
more than anything). I can sometimes be a bit more persuasive (although
some call it a pain in the ...) so I thought I'd look into a few
programs and see if I could help her out. Any recommendations on
programs I could review?
