Good afternoon,

 

My Right of Way (ROW) department manager and I would like to meet and
talk with records managers who work for public utilities, pipelines,
energy companies, etc. and/or anyone else in the Atlanta area who has
ROW files (easements), to learn about how you are managing them.  My ROW
Manager now has a golden opportunity to overhaul her current system
(about 40,000 files) and move into imaging, but we'd like to see what
others are doing.  It would be especially helpful if you were tied into
a SharePoint 2007 environment (as we are) but it's not necessary,  as
we're just looking to get some fresh ideas and perspectives on potential
changes and upgrades we can make.  

 

What we're looking to learn, for example, is what kind of numbering
system do you use?  Are your files color coded?  Are they imaged?  How
do you tie into other systems for access to data?  Do you scan your
records?  Are you hardcopy files onsite?  If so, do you keep them in a
file room?  How old are your records (we go back to 1962)?  If you scan,
do you outsource or do it in-house?  How are they indexed?  Are you
using a doc mgmt system, if so, which one?

 

One of the things I'd like to do with these records after scanning (and
QC) them, is to send the hardcopy offsite.  My ROW Manager is resisting
that but might be more amiable to it if she saw that other ROW
departments are doing the same.  

 

Any takers in the Metro Atlanta area?  Lunch is on me (can I bribe you
with food?).
