Keith:

If you are asking what do you want to have scanned, you are, IMHO, not
asking the proper question. It means you are going to end up digitizing
"post-use" paper, rather than looking at how the technology can improve the
organization.

That has some value in having some continuity of operations and clearing the
storage room, but I've found it to have little economic contribution. It
often gets deferred when resources get tight. Plus, a post-use application
is less likely to uncover imaging problems in a timely manner.

Do your inventory, but focus on the paper that come in and is generated,
across the board. Then you can discuss the possibilities for using imaging
to assist the department.

Your inventory form should include the document classes that arrive or are
created, document type (std form, semi-structured or free-form), information
captured from it, average size in printed sides, how long it needs to be
kept (may just be in retention schedule), number per some unit of time, and
importance in the business units operations.

Subject: [RM] Electronic - Document Imaging Iventory Form

Good Day to All!
I have been given the task to create a Document Imaging Inventory Form which
would ask the Question:
1. What document would you like to scan in your Department.
I have already implemented scanning, of HR Records/External Transcript/HR
Benefits/Financial Aid requested Documents/Board Agenda/Minutes and soon
Contracts.
If you do have s tailored Form available and don't mind sharing, I would be
grateful.
Please send it in a format where I will be able to edit.
Thanks! to "The greatest Record Management Resource on the planet."
