You can keep emails in your email system for as little time as you wish. But
if this conflicts with retention as determined by content and context, then
you will have to teach all your staff how to (a) recognise which emails are
records, and (b) how to get those emails, including attachments and full
history, out of the email system and into some other system where they can
be kept properly.
