Although retaining the material for the longest retention period seems the least risky, you need to also take into consideration any legal holds that may affect your record in the future.  If your legal hold process searches or preserves records based on a record retention category, you would be potentially missing records that would need to be preserved if only the longest was entered.  Also, any changes made to laws or retention periods in the future could potentially make one of the other retention categories longer than the one that was used today.

I am looking for feedback on applying multiple retention policies on one

folder. 

Since there are sometimes multiple authorities that have regulations on 
how long to keep certain Records is it best practice to create and apply

more than one policy on a single folder or list the multiple authorities

within the policy and make sure the policy follows the longest
regulation?
