Our city's division directors are interested in establishing a
standardized file-naming convention for electronic files (Word, pdf,
Excel, jpg, etc.) We have no EDMS yet, though we are moving in that
direction.

Short-term, the divisions will be creating public folders for use on the
citywide intranet and moving shared documents (e.g., travel forms,
personnel policies, time off request forms, ordinances, resolutions,
financial reporting forms, etc., etc.) from division-specific public
folders onto the intranet.

Not surprisingly, no two divisions have the same file-naming
conventions. Some have none at all. And some that do may feel that
"their way is the best way." Therefore, before we begin populating the
intranet folders, we need to establish a citywide standard for naming
electronic files.

I know that there are a number of publications available on "do's and
don'ts." However, I am wondering if there is a municipality or county
out there that has already gone through this process and has an actual,
user (employee) - friendly model in place for its various departments.

I am not specifically interested in a generic, guidance manual. I'm
looking for "here's what we have done" with, maybe, some comments on how
the implementation of those file-naming conventions worked out.

Any assist would be appreciated. Thank you.
