At DePaul University we're listed in the directory as Records
Management, Department of. I report to the University Secretary who
reports to the University President. We have a Student Records office
that handles all student records and related requests and, yes, I do get
many phone calls from people both inside and outside the university who
get our functions confused. My voicemail message states that if the
person is calling about a transcript or registration request that they
need to call Student Records and I give their phone number and URL.
However, if I answer the phone then I try to figure out how they got my
number and then forward them to the Student Records hotline.

I found that the number of calls was largest in volume during the first
year my department existed. It's tapered off now that I've been better
able to track down where the calls were coming from (switchboard, other
departments, online directory) and done some education of the employees
in those areas. I also added the following to my department's entry in
our online directory:

For any issues regarding transcripts, registration, or immunization,
or student records of any kind please contact "Student Records" [which
links to the Student Records entry in the directory].

Subject: Question re Naming RIM in Higher Education

All,

For those of you who work in higher education, what do you call your
office=
, i.e., "Records & Information Management," "Records Management," etc.

At SCSU, we are called "Records & Information Management." However since
ou=
r inception, I have been receiving more and more calls each week from
stude=
nts regarding their personal student records: transcripts, name/address
ch=
anges, gpa/credit questions, etc. I have surmised that the word
"Records" i=
mplies that I handle student records. Consequently, my supervisor and I
are=
considering changing the name of the office.

After reading "Information Nation" by Kahn & Barclay, I have suggested
"Inf=
ormation Management & Compliance," "Information Management Compliance,"
or =
something to that effect.

Any ideas??

Thanks very much,
Phil Koslowski
