At our firm, there are no automated processes for closing matters. For
day-to-day operations, it's left up to the billing partner/responsible
attorney to submit a closing form.
We did, however, initiate a firm-wide review earlier this year of
matters without any activity for 1 year or more. I distributed a list
of their inactive matters to each billing partner, asking for their
instructions. For this project, we eliminated the requirement for a
closing document; all we asked for was a marked-up spreadsheet
indicating which matters could be closed.
With only a few exceptions, we accepted the instructions from the
billing partner (an exception would be someone with over 500 inactive
matters telling us to leave them ALL open).
I was able to close nearly 11,000 matters as a result of this review.
