...scratches head and wonders... If you have a retention schedule that requires you to keep certain records longer than 4 yrs, and records CAN be recd by email, why would the organization agree to delete email at 4yrs?

Yep, if printed to paper, kept as PDF, or anything else, you'd have to produce it. And you'd be hard pressed NOT TO simply because you have a 'policy' that says to discard records of a certain format at time intervals that ard inconsistent than your retention schedule.
