I'm sorry, I just have the Word from American Honda Motor Co., Inc.'s Risk
Management people:  Keep information on the records in the boxes inhouse.
Let the vendors have the cost center number and their barcode number.  That
should be sufficient for them to track the location of the boxes in their
system.

Even though the vendors have a more powerful database than Access, updates
and changes will take longer, non-employees of your firm will have access
to all the information you have on your records, and it will exist away
from  your company's electronic security precautions.  Despite
non-disclosure agreements and statements that the information is secure and
the vendor's employees are trustworthy, our Risk Management department has
been unwilling to take that risk.  We have been storing records offsite
since 1996.
