We basically do the same, except we do not ask for approval.  We send a notice 3 weeks prior to the scheduled destruction, and they have that time to inform us of any legitimate reason to hold any of the boxes.  Legitimate reasons include any on-going or know to be soon audit, legal, or HR grievance procedures.
