Glen asked:

Does anyone have knowledge of any legal requirement for keeping individual
peoples calendars for 5+ years? Is this something that a capstone like
approach may cover? We retain calendar information for 3 years for all
employees but for execs we keep 7 years(Hypothetical). Just curious. I have
looked at a number of CFR's but haven't run across a specific requirement
that I can point to.

____

In the federal government, the Capstone approach (GRS 6.1) for email, if
fully implemented by an agency and set up to include calendar/appointment,
would send senior level officials' information to the National Archives
after 15 years (or after declassification review, where applicable,
whichever is later) so it could be preserved on a permanent basis.

Lower level officials would be kept either for seven years (longer retention
is authorized if required for business use) or three years for
support/administrative positions (longer retention is authorized if required
for business use).

I looked at some old client work in the private sector and found calendar
retention to be in the five to six year range but no code citations included
in one client case, another - for a foreign entity three to five years for
operational material.

Hope this helps.
