JOB DESCRIPTION:
The Utah State Archives is seeking an Administrative Support Manager.
This employee manages administrative support functions and is responsible
for the following:

    overseeing the division budget
    developing and tracking contracts and agreements
    tracking fee schedules and deposits
    tracking office assets, equipment and IT resource inventory
    soliciting grants and functions as grant/contract officer
    coordinating information, data processing, and IT systems, including the
Archives' record keeping and inventory systems, record content management
systems, and electronic archives systems--ensuring resource security compliance.
    maintaining the Archives emergency Continuity of Operations Plan and
archival/cultural resource disaster recovery plans, including testing and
compliance.
    tracking policies and procedures, performance measures, and metrics and
reports to governing authorities. 
    supervising subordinate personnel including their hiring; determining
workload, and delegating assignments, training, monitoring and evaluating
performance; initiating corrective action or disciplinary action.

EXAMPLE OF DUTIES:

    Coordinates and/or manages support services such as: liason to facility
and grounds, equipment relocation and storage, etc.
    Develops or modifies rules, policies, or standards, etc.
    Manages accounting or budget activities and provides fiscal information.
    Reviews fiscal operations to ensure integrity, accuracy and control of data.
    Prepares and defends budget recommendations, requests, reports,
proposals and/or projections.
    Monitors and evaluates operations, programs, processes and/or practices
for quality and effectiveness; makes recommendations for improvement.
    Monitors agency contract services; implements controls and standards to
monitor the processing and review of contracts.
    Writes, reviews, and/or negotiates grants, contracts and/or agreements.
    Supervises subordinate personnel including: hiring, determining workload
and delegating assignments, training, monitoring and evaluating performance,
and initiating corrective or disciplinary actions.

    prepare financial reports and documentation
    applicable laws, rules, regulations and/or policies and procedures
    determine how money will be spent to get the work done, and accounting
for these expenditures
    speak clearly, concisely and effectively; listen to, and understand,
information and ideas as presented verbally
    ensure compliance with contract terms, policies and procedures, etc.
    principles, theories, and practices of purchasing goods and services
    communicate information and ideas clearly, and concisely, in writing;
read and understand information presented in writing
    supervise others by assigning/directing work; conducting employee
evaluations, staff training and development, taking appropriate
disciplinary/corrective actions, making hiring/termination recommendations, etc.

SUPPLEMENTAL INFORMATION:

    Risks found in the typical office setting, which is adequately lighted,
heated and ventilated, e.g., safe use of office equipment, avoiding trips
and falls, observing fire regulations, etc.
    Typically, the employee may sit comfortably to perform the work;
however, there may be some walking; standing; bending; carrying light items;
driving an automobile, etc. Special physical demands are not required to
perform the work.
