I agree with all comments to date except obtaining a sign off can proved to be too difficult to obtain.  Essentially an electronic list of retention eligible material, a 30-day review period, the opportunity to extend the retention period for a reason. Notice to the department/person indicates destruction will occur at the end of that 30-day period if no exceptions are noted, with no further notice to the department/person.  Of course, I am assuming you have a policy that supports the text as written.
