We have a policy (approved by the Director after review) that basically says Waterworks will apply the Records Retention and Disposition Schedule approved by the Library of Virginia. Our WW schedule is submitted to the library for review and approval before we can use it. The policy is part of our RM Manual (which includes policies on In-Active Storage, Records Destruction/Deletion policy, information privacy, the Freedom of Information Act policy, and so on). I've found it easier to get an approved policy that is worded just for what we do and why and includes the titles of the appropriate procedures that must be followed. We then develop specific procedures for most of the policies. It is much easier to get the separate procedures reviewed and approved when things change, then to go through the rather complex process of getting approval for the policy.
