Terms of Reference for Developing Record Retention Schedules for UN?s
Department of Political Affairs
Goal
This vacancy is subject to availability of funds. The Department of
Political Affairs (DPA) requires a Consultant to develop retention
schedules of its substantive or core records. The Retention schedule will
guide the record sentencing process (record retention and disposal
decisions), in preparation for the relocation of all DPA Offices to a new
location in connection with UN Capital Master Plan (CMP). The use of the
retention schedule will be used beyond CMP to assist with the ongoing
management of the records within the Department.
Deliverables
§ Identify the values that are applied to form the proposed
retention schedule
§ Submit a draft retention schedule for review and comments by DPA
Divisional Directors and ARMS
§ Based on initial review, produce an updated retention schedule and
a user guide on how to implement the schedule; using the UN design house
style and layout for retention policies
Project Management
· The consultant will report directly to DPA Chief of
Staff/Executive Officer and liaising with ARMS Chief, Records Management
Unit
· DPA Chief of Staff/Executive Officer will facilitate the contact
with the key offices within DPA
· This is a short-term, 2 months consultancy project and therefore
the consultant must guarantee to provide the deliverables within a
two-month period.
Consultant qualification
· Records management expert with at least eight years experience and
success as a consultant;
· Experience of/and success in developing retention schedules ,
whether hard copy, digital (born-digital and digitized from other media),
or hybrid
· Experience of /and success in working with international and
geographically distributed organizations;
