While the suggestion of separation for your backup copy is a good one for
the data, like Jesse said, it ain't records management.  If you have your
data off site and a disaster strikes, what good is it if you don't have
access to the applications that run it?

Another good reason for something like a Passport drive where you can
(legally) store a copy of the applications as well as the data.  Seeing as
you are only storing a copy of something you already own the license to, and
would never be running it in two locations simultaneously, you'd be in
compliance with the license agreement AND have a viable disaster
recovery/vital record protection alternative.  

It's low budget, but it would work.  And you could have an independent 
folder on the drive for your data, then  replace only the data following a
change.
