We went through a similar process with email and took snapshots of the
email storage at the time of backup each day. Although some people
added at the same time, we were able to measure huge chunks of decreases
in the amount of data being saved.
When you are going through your cleanup, you might want to advise IT to
do this in clustered groups. In many cases, saved emails and electronic
files are often stored in compressed form and the file decompresses if
it is opened. If the entire company starts opening email and electronic
files to see if they need to keep it or not, you could bring a server
down in record time. It eats up a lot of space.
