The City of Austin, seeks proposals in response to this Request for Proposal 
(RFP) from qualified contractors with demonstrated experience working with 
physical records management systems for local government entities.  The City 
of Austin is seeking a system to support the management of physical records 
with a web-based application that can be accessed by authorized personnel 
within all City departments. This includes replacing the current legacy system, 
GAIN RM, Enterprise Edition by Triadd Software, and migrating existing data 
from that system. 
The system must:
•	Process accessions of new boxes and files;
•	Support services for retrieval and re-filing boxes and files;
•	Provide reports and the ability to create customized, user-defined 
reports;
•	Support the City’s File Plan and the classification of records for 
retention purposes;
•	Support services for records destruction;
•	Track the history of chain of custody and activities associated with 
boxes and files;
•	Support identification of City departments and work units responsible 
for records; and
•	Provide security based on user, group, and departmental access 
permissions.

Deadline for responses has been extended to 1:00 PM on September 24, 2009.
