We do one about once or twice a year. Enticements (other than compliance 
with the law and the fire marshal) usually involve free food (pizzas and 
salad for lunch; bagels/muffins for breakfast). I seem to think that for 
the larger scale clean-ups we gave away prizes -- gift cards and 
corporate-branded apparel.

If your clean-up is campus wide and through several buildings, providing 
food would become pricey. When I worked at a university where offices, in 
different buildings needed/wanted a clean-up day, I made sure each 
building was scheduled for a different day so we could be on hand on help 
appraise records, pack records for the archives (or continued retention 
offsite) and make sure no one shirked off the project. I provided boxes 
and supplies free of charge (as we would normally charge offices for 
boxes). With this approach, it was not uncommon for the department to 
provide lunch (and sometimes breakfast) to all who took part. If your 
clean-up is campus wide, it might be worthwhile reaching out to department 
heads and such for ideas to get their people into the mood, and maybe foot 
some of the expenses. After all, the goal is to improve workplace 
efficiency and morale.

Greetings,
     My institution has just implemented a records program this academic 
year.  Many of our faculty and various departments on campus have file 
cabinets chock full of records that should have been disposed of years 
ago.  A shredder service has been scheduled and will haul off these 
records this spring.

Question . . . have any of you had a "records day"; in other words, one 
day set aside to encourage employees to go thru their files (paper & 
electronic) so that irrelevant information may be disposed of?  I'm 
looking for ideas to promote/market this idea and try to make it fun. 
Being an educational institution, it goes without saying :) that there 
isn't much money available for the promotion piece.  If you have 
coordinated such an event, I would greatly appreciate if you would please 
contact me off-list so that I may ask you some questions.  TIA,
