In the past the records management program I ran worked with a very large international vendor that handled our storage and destruction processes. Our processed never involved taking materials back to a location for destruction. They were either destroyed on-site (truck in parking lot or on street out front) or at their location after a request from us. At another employer (municipal government) we would have a pick up and the certificate would be sent back to us after destruction was accomplished at another city facility that day.

I would not accept a "certification" prior to the act being certified occurring. They may certify that they picked it up for destruction, but not that destruction has occurred.

Subject: [RM] Certificates of Destruction

Good afternoon; I hope our Listserv members on the east coast have dug out. I am currently involved in an RFP for shred services. One of the vendors in contention performs shredding both on and off-site. They informed me yesterday that they issue certificates of destruction at the time the secure destruction bin transfers from my company's possession into the hands of their employee regardless if the items are shredded on or off-site.

I took exception to this process; their response was that during the process of becoming NAID certified, NAID informed them that it was an acceptable practice. I have checked NAID online and it states that the vendor should provide the client with documentation of the date that the materials were destroyed.

Have any of the Listserv members encountered this practice? I would appreciate your feedback.

Sincerely
