Sheri, we have a bid "on the street" for off-site storage of physical
records, in which we try to deal with this issue. See below. The bid
itself, for anyone interested, may be downloaded from the URL
http://nyc.gov/html/records/html/about/procurement.shtml.

Best regards.

Fred

2.4	Container or Object Sizing

2.4.1.	In order to ensure uniformity in bid pricing and billing, the
following formula of container or object sizing shall be used. No other
method shall be used for bid pricing or billing.

2.4.2.	The maximum exterior dimensions (height, width, length) of the
container or object shall be multiplied (H x W x L) to obtain its
nominal volume. This nominal volume shall then be multiplied by the
coefficient 1.15 to derive the billable volume of the container or
object. See examples below, which are intended to illustrate the
formula.

2.4.2.1.	A standard storage box with separate lid (also known as
"1.2 cubic-foot" box or "arc-hive box"), having outside dimensions
10.25" H x 12.75" W x 16" L and a nominal volume of 1.21 cubic feet,
shall be priced and billed as 1.39 cubic feet.

2.4.2.2.	A map tube, having outside dimensions 8.25" H x 8.25" W
x 48.5" L and a nominal volume of 1.91 cubic feet, shall be priced and
billed as 2.20 cubic feet.

2.4.2.3.	A geological core sample box, having outside dimensions
4" H x 14" W x 60" L and a nominal volume of 1.94 cubic feet, shall be
priced and billed as 2.24 cubic feet.

2.4.2.4.	An architectural model, having outside dimensions 21" H
x 41.5" W x 61.5" L and a nominal volume of 31.02 cubic feet, shall be
priced and billed as 35.67 cubic feet.
