Good day all and happy New Year.
In November I spoke at the ARMA conference on our case study for email
management. I provided eight different solutions that we considered of
which two were the "big bucket" approach and "cloud computing" approach.
In reviewing the comments that attendee's had provided, two people
suggested in their written comments that I misrepresented both of these
approaches. As I want to better understand both of these better, I would
like your input on what I wrote and said:
Big Bucket
Advantages
Easy for users to understand.
Users determine which bucket to put records in.
Records are somewhat managed.
Some retention assigned
Timesaver
Disadvantages
Poor records classification.
Often results in longer retention periods.
Investment in Content Management System not leveraged
Event driven retention not possible
I mentioned that the big bucket approach often works best in a large
organization with hundreds of records series. In a smaller working
environment such as my organization with 55 main record series, this may
not be required.
Cloud Computing
Advantages
Low, predictable costs
Managed as a service, unlimited space.
Web based, accessible by all
Robust feature sets
Rapid deployment
No in-house IT support
Disadvantages
Security ? outside the firewall
Loss of management control
Ownership
Customer service relations may suffer
Service Level Agreement (SLA)
I mentioned that the quality of the service was often based upon the level
of the service agreement. A non-comprehensive agreement would result in
poorer service and would not look after the customers needs. In other
words, do your homework on the agreement and you won't get burned and
you'll protect your organization.
I'd appreciate any and all comments. If I have misrepresented these, I
would like to know. As well, if you agree with me, I'd like to hear from
you also. If you would re-write them, then please do.
