Karen,

I think the ideal way to maintain long term electronic records is using
archiving hardware such as manufactured by EMC (see Centera at
http://www.emc.com/products/detail/hardware/centera.htm), HP et. al.,
and your ERMS to apply the retention periods.  Once documents become
inactive they are moved onto these types of servers, usually in PDF or
PDF/A format, with retention assigned according to your schedule.  Once
there the information cannot be deleted sooner, but retentions can be
extended if your schedule changes, and multiple legal holds can be
applied as necessary.  I was working on such a project at a former
employer.

suitable records retention tools. What I am interested in asking the
group is how do you keep your "permanent or long term" electronic
records"?
